Senior Client Service Associate

Reports To: SVP, Director of Operations and Risk Manager
Job Status: Exempt
Work Hours: M – F; 8:30 am – 5:00 pm (In-Office Position)

Position Summary:
The Senior Client Service Associate will assist Wealth Advisors in providing an uncommonly high level of client service, with account administration and basic financial planning at its core. Oftentimes, the Senior Client Service Associate has the first line of communication with the client and will be seen as an integral part of the service team. By accepting responsibility for the quality and accuracy of the daily work as well as developing a deep knowledge of each client relationship, the Senior Client Service Associate plays an invaluable role in the ability to deliver a best-in-class client service experience.

Essential Responsibilities:
• Maintains expertise in account administration, client servicing and related areas.
• Assists the Wealth Advisors with the delivery of the “Client Experience” including initiation of and preparation for client meetings, maintaining client communication and coordinating necessary follow-up.
• Assists with preparation of the Legacy Plan and related financial planning.
• Assists the Wealth Advisors with the internal compliance process.
• Manages the account opening process, including assembling and organizing account information/documents and establishing legal documentation files.
• Maintains name and address records along with relevant communication and action steps in CRM system.
• Assists in monitoring the funding processes used for various types of clients.
• Reviews daily reports to ensure accuracy in transactions, cash processing and communicates any problems or overdrafts to assigned Wealth Advisor and works to resolve as necessary.
• Assist with the training of new Client Services Associates as needed.
• Prepares remittances, wire transfers, bill paying and/or receipt transactions with proper transaction and tax codes.
• Assists Wealth Advisors in completing the annual Regulation 9 reviews
• Tracks and coordinates tax documents for Trust tax returns
• As a Senior Client Service Associate, may be assigned to more complex relationships and assist with the Estate Settlement process.
• Other duties as assigned.

Education & Experience:
• Bachelor’s degree specializing in finance, business or related field, or equivalent work experience preferred.
• Three (3) to five (5) years of experience of client service support of two or more wealth advisors, or partners or administrators, preferably in the finance industry.
• Training and/or experience in financial planning and investments is a plus.
• Desire to obtain CFP©, ChFC, CIMA or other similar professional designation.

Other Knowledge, Skills & Abilities:
• Understanding of account administration.
• High-level attention to detail.
• Basic knowledge and understanding of fiduciary concepts and regulations; internal controls; and risk management.
• Understanding of basic investment concepts, including dividends/interest, capital changes, and fiduciary accounting.
• Proven interpersonal skills. Ability to develop rapport with clients and other team members.
• Excellent communication skills both verbal and written.
• Excellent analytical, problem-solving, and decision-making skills. Ability to organize and prioritize work in a changing environment.
• Experience with CRM software (Redtail ideal).
• MS Office skills– Excel, Word, Access, Outlook and Powerpoint.
• Familiarization with trust accounting systems and financial planning software or willingness to learn.
