Administrative Assistant – Wealth Management

Legacy Trust, a private investment and wealth management firm located in downtown Grand Rapids, has a great opportunity for a blended role of Administrative Assistant and Client Services Associate to join our team of professionals dedicated to providing exceptional account administration and service to our clients.
Essential responsibilities include but are not limited to the following:
- Manages the reception services for the office, including answering and redirecting phone calls. Providing white glove service to all clients and visitors when arriving in person or when on the phone. Promptly and professionally greet and direct clients and visitors.
- Manages office operations, mail and package handling.
- Coordinates account opening and closing processes, including assembling and organizing account information and documents, and establishing legal documentation files.
- Maintains detailed account filing system for Original Agreement files, Future Appointment files, Safekeeping files and Trust files (both physical and electronic).
- Prepares remittances, wire transfers, bill paying and/or receipt transactions with proper transaction and tax codes.
- Assists in preparation of confidential correspondence.
- Develops familiarity with all aspects of account administration in order to assist other team members when necessary.
- Utilizes the CRM system for client updates, notes, and activity tracking.
- Assists Wealth Advisors with ensuring accounts are in compliance with regulations and Investment Policy Statements by using the Compliance Software.
- Prepares client presentations.
- Maintains records for Private Foundation clients and prepares reports for the designated Family Advisor and/or family member(s).
- Provides administrative assistance to the sales team including maintenance of appointments scheduled.
- Monitors office conference rooms and conference room calendars.
Education and Experience:
- Associate Degree in Business Administration or equivalent work experience; Bachelor’s Degree preferred.
- One (1) to three (3) years of experience in administrative support preferred.

Wealth Advisor

Position: Wealth Advisor
Legacy Trust, a private investment and wealth management firm located in downtown Grand Rapids, has a great opportunity for a motivated individual to join our team as a Wealth Advisor.
Position Summary
The Wealth Advisor will serve as the primary financial advisor providing individualized solutions to high net-worth clients in an effort to preserve and deepen Legacy Trust’s valued client relationships. The Wealth Advisor will develop wealth plans that address retirement strategies, risk management, preservation of wealth, accumulation, asset allocation, and wealth transfer strategies.
Essential Responsibilities
1. Applies advanced knowledge of financial investments, federal and state taxes, services, and
strategies to provide proactive holistic advance and financial planning regarding complex financial
issues impacting the affluent market. Develops rapport with diverse range of personalities and
effectively incorporates wealth planning techniques.
2. Collaborates with a customized team of specialists to deliver high-quality client service.
3. Ensures service standards and metrics are met based on client needs, segmentation, asset
allocation, and risk management.
4. Partners and leverages internal and external service providers to optimize effectiveness and
efficiency.
5. Provide Trustee services when Legacy Trust is named as trustee.
Client Relationship Responsibilities
1. Conducts comprehensive reviews to analyze financial data and provide recommendations for
modifications based on client’s risk tolerance, goals, objectives and individual preferences. Provides
comprehensive financial planning and consultations.
2. Coordinates client relationship to ensure the Legacy Trust client experience is delivered.
3. Coordinates and collaborates with other advisors of clients.
4. Resolves problems as trusted advisor for client issues.
5. Provides the client with current trends and commands a thorough knowledge of investment products, financial planning, taxes and market dynamics.
6. Develops and executes an annual account servicing plan appropriate for the service standards,
including conducting periodic reviews and leveraging the appropriate specialist to ensure client’s
needs are being met.
Business Development Responsibilities
1. Prospects for clients in a New Business Development capacity by sourcing and building own pipeline of clients and opportunities.
2. Demonstrates highly developed sales, client contact and relationship management skills.
3. Earns referrals from clients, 3rd party advisors (e.g. Attorney, accountant), and other Centers of Influence.
4. Existing book of business is welcomed but not required.
Education & Experience
1. Bachelor’s degree specializing in Finance or equivalent work experience. Advanced degree or professional certification required.
2. Five (5) or more years of experience in high net-worth client service and business development.
3. CFP, CTFA, CPA, JD or comparable background is preferred.
4. Is proficient and understands income, gift, estate, generation and fiduciary taxes

1. Knowledge of current trends in Wealth Management and works with specialists to keep up-to-date on products and services.
2. Market focused and results driven with proven track record in revenue growth operating in highly competitive market.
3. Demonstrates strong interpersonal, negotiation, and exceptional written and oral communications skills.
4. Effective problems-solving and analytical skills.
5. Ability to function within a small, fast-growing business, with the flexibility to balance competing priorities.
6. Ability to travel for events and meetings approximately 25% of the time.
7. Team orientation and ability to work with executives, managers, team members, clients, clients other advisors, and vendors in a collegial setting, to achieve individual and mutual goals in a rapidly transforming organization.
